Refund & Cancellation Policy
Here For The Miles is a 501(c)(3) nonprofit organization committed to promoting movement, wellness, and community. Because we rely on registration fees, sponsorships, donations, and program revenue to operate and serve our community, we maintain the following refund and cancellation policies.
By making a purchase, registering for an event or program, or submitting a donation, you agree to the terms outlined below.
Donations
All donations made to Here For The Miles are considered charitable contributions and are non-refundable.
If you believe a donation was made in error (such as a duplicate charge or incorrect amount), you must contact us within 7 days of the transaction. We will review the request and, if appropriate, issue a correction.
Event Registrations
Registration fees for Here For The Miles events (including walks, 5Ks, 10Ks, and special events) are refundable only if requested at least 14 days prior to the event date.
Refund requests must be submitted in writing to support@hereforthemiles.com.
Processing fees are non-refundable.
No refunds will be issued within 14 days of the event.
Participants may transfer their registration to another individual by contacting us prior to the event.
Because event materials (including shirts, medals, and gift bags) are ordered in advance, these items are non-refundable once production has begun.
Event Cancellation
In the event of cancellation due to severe weather, safety concerns, or unforeseen circumstances beyond our control, registrations will be credited toward a future Here For The Miles event. Refunds will not be issued in these circumstances.
Sponsorships
Sponsorship payments are non-refundable once:
A sponsorship agreement has been executed, and/or
Promotional materials have been created, printed, or distributed, and/or
Marketing or public acknowledgment has begun.
If a sponsor withdraws prior to promotional execution, any refund consideration will be determined at the sole discretion of Here For The Miles and may be subject to administrative fees.
Programs & Services
This section applies to all Here For The Miles programs, including:
Miles Up!™ Corporate Wellness Program
Senior Program
Workshops, walking series, or other structured wellness offerings
Individual Participant Programs
Cancellations made at least 48 hours prior to a scheduled session may be eligible for credit toward a future session.
No-shows or cancellations within 48 hours are non-refundable.
Once a multi-session program begins, fees are non-refundable.
Credits, if issued, must be used within 90 days.
Corporate & Organizational Programs (Including Miles Up!™ and Senior Program)
For contracted corporate or organizational programs:
Deposits are non-refundable.
If cancellation occurs after scheduling, planning, or curriculum development has begun, fees are non-refundable.
Rescheduling requests must be made in writing and are subject to availability.
Because our programs involve planning, staffing, and resource allocation, refunds are not guaranteed once preparation begins.
Products (Merchandise)
Merchandise may be returned within 14 days of delivery if:
Items are unused, unworn, and in original condition.
The return is approved by Here For The Miles.
The customer covers return shipping costs.
Custom items, clearance items, and event-specific merchandise are non-refundable.
Refunds (if approved) will be processed within 7–10 business days after the item is received and inspected.
Chargebacks & Payment Disputes
If you have a concern about a charge, please contact us directly before initiating a chargeback with your bank. Unauthorized chargebacks may result in removal from future events or programs.
Policy Updates
Here For The Miles reserves the right to update this Refund & Cancellation Policy at any time. The version posted on our website at the time of purchase or registration will apply.
